Profillers Staffing Solutions ("Profillers", "we", "us") is a staffing agency in Surrey, British Columbia. This policy explains what personal information we collect, why we collect it, how long we keep it, and who to contact about it. We follow British Columbia's Personal Information Protection Act.

What we collect and why
If you apply for work. We collect your name and contact details so we can reach you about shifts. We also ask whether you are legally allowed to work in Canada, because we can only place people who are. This is a yes or no question. We do not ask for a copy of your ID when you apply.

If we place you on a shift. We collect what we need to pay you and to meet our duties as an employer: your Social Insurance Number, date of birth, home address, banking details for direct deposit, and records of your shifts, hours and pay.

Location check-in. When you arrive at a work site, you tap "I'm here" on the shift link we sent you. Your phone asks your permission first. If you allow it, we record your location once, at the moment you tap, along with the time. We use it only to confirm that you have arrived at the site. We do not track you before or after that tap. If you prefer not to share your location, tap "I'm here (no GPS)" and our dispatcher will confirm your arrival another way.

WhatsApp. We use WhatsApp to send shift offers and shift details and to answer your questions. When you message us, we see your phone number, your WhatsApp name and what you send us. WhatsApp is run by Meta, and Meta's own privacy policy applies to its service. If you would rather not use WhatsApp, call us at 604-283-5422.

If you are a client. We collect your name, company, phone number and email address, and the details of the work you need filled, so we can supply workers and send invoices.

If you visit our website. Our website is hosted by Wix. It records basic technical details such as your IP address and browser type, and uses cookies needed for the site to work. We do not use advertising or tracking tools on this site.

Who we share it with
We do not sell or rent personal information. We share it only with:

Client businesses. When we place you on a shift, we give the client your name and the role you are filling, and we confirm that you have arrived and at what time.

Service providers that help us run our business. These are Google (application form and dispatch records), QuickBooks (payroll), Wix (website) and Meta (WhatsApp). They may use the information only to provide their service to us.

Government bodies, where the law requires it, such as the Canada Revenue Agency and WorkSafeBC.

Some of these providers store information outside Canada, including in the United States, where it is subject to the laws of that country.

How long we keep it
Applicants we have not placed: 2 years after your last contact with us. You can ask us to remove you sooner.
Payroll and employment records: 7 years after your last shift, as tax and employment laws require.
Location check-in records: 12 months after the shift.
WhatsApp and email messages: 2 years.
Client contact details: while we work together and 7 years after.

How we protect it
Only Profillers office staff who need your information to do their jobs can see it. Our records are kept in password protected accounts, and each worker's shift link is unique to that worker. If a privacy breach creates a real risk of harm to you, we will tell you.

Your choices
You can ask us at any time to see the information we hold about you, correct it, stop sending you shift offers, or remove you from our candidate list. We will delete what the law does not require us to keep. We will respond within 30 days.
